Topic's to Discuss at Supervisors COP

Here are a couple of my ideas/questions: 1. How do we manage supervising remotely via teams or zoom. Access to CV etc. 2.What access to Tepapa Hou and other training does the trainee have? 3. How do we has Supervisors keep up with any changes to the FMIC - I did my training more than 10 years ago. As a qualified FM and supervisor, I feel we should be updated regularly with any changes to the training. Maybe via email or a yearly COP's to discuss updates. 4. Is there anything in the initial training around file management and processes? Booking clients, note keeping and communications. 5. Is there a vetting process before a trainee get accepted to do the FMIC?

Great questions Raewyn!!

Re: Topic's to Discuss at Supervisors COP

Thanks Raewyn I did respond yesterday but the matrix got it. I'll respond to the group rather than you individually. 1. Face to face is always best, but we do know that although not ideal, remote supervision has been successful. This has been acheived through Zoom/Teams, phonecalls and emails. The trickiest bit is being in the room with the FM and finding a client ok with this. But this has also been acheived. We have a Remotely Supported Provisional Period Supervision Guide outlining some of the requirements, timings and admin tasks. It is a guide only. As for access to Client Voices, due to privacy considerations, it is highly unusual to grant someone from outside the service access to Client Voices. But it is ultimately up to the service manager to make that decision and add the supervisor. Keep in mind, if the supervisor already has a Client Voices account, you will need to use a different login email address for them on the new account. The same email address cannot be used to log into two accounts. 2. Trainees recieve access to Community Heart and Te Papa Hou after successfully completing FMIC. This is to avoid overload to information and the opportunity to focus on and embed FMIC training first (learned from experience). Once they have access to Te Papa Hou they can sign up to Panui, find the application form for Centrix and sign onto PDable. Some service managers sign their staff in early to Client Voices (briefly mention in FMIC). 3. If you go to the search engine in Te Papa Hou and put in "FAQ" you will find all the information regarding FMIC including the course structure. I would encourage you to go through the pre-reading documents and work through the modules as they go to give you a better understanding of the content. The updating of case studies to more realistic costs and current social settings was completed this July. Modules for revision can be found on Community Heart and other training on offer can be found on the training and events section in Te Papa Hou. 4. Other than the Privacy Act, closing of cases and destruction of documents no. There are multiple services having a range of processes. With the current programme being seven days long there had to be some decisions made about content. 5. It is the sole responsibility of a service to recruit the appropriate person fro the role. A recruitment document and induction process along with supervision and other helpful documents can be found in Te Papa Hou under Resources and Forms for Service Managers. We have included the managers attestation in the FMIC application to put more emphasis on expectations and requirements, which are also included in the manager's and trainees letters that go out to them prior to starting. The observations are now mandatory, so each trainee will have at least two experiences with a practicing FM prior to starting the programme. We have seen a drop in withdrawals since implementing these. Finally you are reading this as you have access to Te Papa Hou . If you know any of the supervisors in your groups who does not, they can email rocky@fincap.org.nz to be hooked on. I hope this answers those questions.

Re: Topic's to Discuss at Supervisors COP

Thanks Nige for the answers to my questions. I would be interested in what other Supervisors think as well. I did try to find the link in FAQ to the information on what is taught at the FMIC - so I could get up to date with the latest training - but didn't have much success with that unfortunately. I will ask Andrew to help me find it. Is this on Community Heart? I find Community Heart a great platform as tracks  progress and completed courses. Just wondering if that can this be transferred to the new PD Able. Just wondering how others find navigating the Te Papa Hou website in general?
